Choose which automatic messages your customers get about their appointments, how they get them, and what they say. You can also choose how long before an appointment your customers get a reminder.

Choose a message to set up

  1. In Settings, select Customer communications.

  2. Select the message type you want to set up.

  3. Review the channels, switches, and template controls for that message.

You can set up these message types:

  • Appointment confirmations

  • Appointment reminders

  • Dispatch notifications

  • Arrival notifications

  • Google review request

  • Appointment cancelled

  • Appointment rescheduled

Edit a message and send a test

Appointment confirmations and reminders have separate SMS and Email switches, a message preview, Edit message, and Send test.

Note: Templates use placeholders like {First Name}, {Appointment Date}, {Appointment Time}, {Appointment Location}, and {Company Phone}. Keep these placeholders when you edit a template.

  1. On the message page, turn the SMS or Email switch on or off.

  2. Review the message preview.

  3. To change the wording, select Edit message.

  4. Review the test destination before sending a test.

  5. Select Send test.

Change when appointment reminders are sent

  1. In Settings > Customer communications, select Appointment reminders.

  2. Find the setting that reads Send [number] [unit] before appointment.

  3. Select the number, then choose how many.

  4. Select the unit, then choose the one you want.

To change the reminder's channels or wording, see Edit a message and send a test.

Check job notification settings

Jobs and appointments also have a notification setting. When you schedule, you'll see Automated client notifications, and each job record shows its notification state. Review this setting on the job or appointment as well.
