Job costing shows whether a job made money. It compares the job's revenue with what you paid for labor, materials, and equipment, and shows your gross margin.

Before you start

  • Only owners and admins can see Job costing.

  • Revenue comes from the job's invoice, including drafts. Estimates don't count.

  • For accurate costs, set an Internal cost on your pricebook materials and equipment, and an Hourly rate for each technician in Settings > Team management.

Open job costing

  1. Open the job.

  2. Select the Job costing tab.

Margin appears once the job has an invoice.

What each section shows

Section

Where the numbers come from

Revenue

The job's invoice total, after discounts and taxes

Labor pay

Each technician's hours on the job, times their hourly rate

Materials and Equipment

Items on the invoice, times each item's internal cost

Payments

Payments recorded on the invoice. They don't affect the margin.

Margin

Revenue minus labor, materials, and equipment

Labor hours are drive time (from Dispatched to Working) plus time on site (from Working to Completed), not clock-in time. Overtime is 1.5x after 40 hours a week, and double time is 2x after 12 hours in a day. State daily overtime rules for California, Alaska, Nevada, and Colorado aren't included yet, so use your payroll system for those.

Add a missing cost

A material or equipment line without an internal cost shows Add cost and counts as $0.

Important: Add cost changes the item in your pricebook, so the cost applies wherever you use that item.

  1. Select Add cost next to the line. The item's pricebook page opens.

  2. Enter the Internal cost.

  3. Select the back arrow. The item saves on its own, and job costing updates.

What to do

I don't see the Job costing tab

Only owners and admins can see it. Ask an owner to change your role.

Revenue is $0, or there's no Margin

Add an invoice to the job. Drafts count.

My margin looks too high, or labor shows $0

Missing internal costs and hourly rates count as $0. Fill them in.

Labor hours keep going up

An appointment is still in progress. Mark it Completed.

I want to print job costing

Printing isn't available yet. Print the page from your browser instead.
