Agents are AI teammates in Onsite. They look things up, take actions on jobs, customers, and estimates, and run routines: tasks they repeat on a schedule or when something happens. Anything that reaches a customer, or creates a job or estimate, waits for your OK.
Chat with an agent
In the sidebar, select Agents. The first time, you can also select the Introducing Onsite Agents banner on your home screen (or the Dashboard in the web app) for a short tour.
Under My agents, select an agent.
Type your request, or select a suggestion such as Schedule a new job. Include the customer, job, and date where they matter, for example
Schedule a fan install for [customer name] on Monday at 10am.
To open an agent's profile, where you'll find its routines and settings, select its name at the top of the chat, then View agent profile.
Add an agent
Select + next to My agents.
Choose a ready-made template, or select Custom to design your own.
Answer the agent's setup questions in the chat. For a custom agent, enter a Name, select Done, then tell it what you want it to do.
Template | What it does |
Hammer (Estimates) | Follows up on unsold estimates until they close |
Buzzer (Leads) | Reaches out to new leads to book an appointment |
Anchor (Re-engagement) | Brings back idle customers for seasonal or repeat service |
Wrench (Appt reminders) | Reminds customers when a maintenance plan or tune-up is due |
Megaphone (Reviews) | Asks for a review right after a job is completed |
Compass (Pricebook) | Helps manage your pricebook, inventory, and pricing |
Lightbulb (Referrals) | Encourages customers to refer friends and family |
Approve what an agent does
Agents add notes and photos to jobs on their own. Before they text a customer, send an estimate, or create a job or estimate, they ask for your OK.
In a chat
Review the card that shows what the agent wants to do.
Select Send or Create to go ahead, or Don't Send or Go Back to cancel.
To change something, cancel, then tell the agent what to change.
From a routine
A number next to an agent means it has something waiting for you.
Important: Feedback you give in Discuss changes the routine's future runs, not the message that's already waiting.
Open the agent's profile and select Feed.
Select Review and check the message.
Select Approve, or select Discuss to give the agent feedback.
Warning: Approve all similar actions approves this kind of action from now on, so the agent won't ask you again.
Set up a routine
A routine runs on a schedule, such as every weekday at 9:00 AM, or when something happens, such as when an estimate is sent or a job is completed.
In the agent's chat, describe what to do, when, and for whom. For example:
Every weekday at 9am, find estimates sent more than 3 days ago with no reply, and text each customer a short, friendly reminder. The agent confirms with New routine and a summary.
To manage a routine, open the agent's profile and select Routines. From there you can Run now, turn a routine off, or select ⋯ > Delete routine. To change a routine, select it and tell the agent what to change.
Customize an agent
Open the agent's profile and select About.
Select Identity to change its name, look, and Tone of voice, or Instructions to add rules it always follows, for example
Never promise a customer a discount.Select Save.
Teach agents about your business
Tell any agent what to remember, for example Remember this for the future: we never text customers before 8am or after 7pm. Every agent uses it from then on. To remove it, say Forget that rule.
If something isn't working
Problem | What to do |
I can't type in the chat | The agent is waiting for your OK. Respond to the card in the chat first. |
A text from an agent failed | Your texting number may not be set up yet. See Get verified to send text messages, or contact support. |
The agent can only send by text | The customer has no email on file. Add one to the customer, or ask the agent to. |
